About The Position

This role within our team is mission critical to the health and safety of the children we see every day at our clinic. Our team acts as our first line of defense for maintaining clean and sterile treatment rooms and facilities for our patients and clinical team. This is a role that requires a multi-disciplinary team approach to solving problems and patient challenges. "That's not my job" or "someone else can do it" is not in our team vocabulary because we are here to be of support to each other. The primary goal is to bring the best patient care and experience for our area's children. The assistant provides high-level administrative assistant support to the Director of Human Resources and assists with the day-to-day operations of the department. Responsibilities include performing a wide range of administrative tasks and supporting the coordination of employee engagement initiatives and events. This is a full-time, hourly, non-exempt position.

Requirements

  • High school diploma or GED.
  • A minimum of two (2) years of experience performing administrative related duties.
  • Demonstrated experience in writing, editing, and proofreading for diverse audiences.
  • Professional experience in employee engagement or a related role.
  • Proof of automobile liability coverage.
  • Intermediate proficiency of Microsoft applications including but not limited to Word, Excel, PowerPoint and Teams.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Strong problem solving and critical thinking skills.
  • Ability to handle highly confidential information with the utmost discretion.
  • English language skills.

Nice To Haves

  • Associate’s degree in human resources, business administration, or related field.
  • One (1) year of assisting with events (internal or external).

Responsibilities

  • Proactively manages the Director’s calendar, scheduling meetings and appointments, and ensuring timely reminders for all critical deadlines and commitments.
  • Prepares meeting agendas, gathers relevant documents and materials, and ensures that necessary technology and meeting spaces are available and operational, assists with presentation slides preparation, takes detailed minutes, and follows up on action items.
  • Performs general administrative duties, including but not limited to administrative support, scanning, filing, faxing, copying, and printing.
  • Executes all aspects of team experience events, activities, and initiatives.
  • Owns the operations of our internal store, including inventory, ordering, and fulfilling orders.
  • Greets and directs all internal and external guests in a professional and courteous manner.
  • Undertakes special projects and assignments as directed by the Director of Human Resources.
  • Tracks and submits expense reports for the Director in accordance with company policies.
  • Runs errands as needed
  • Performs other duties as assigned.
