About The Position

The Administrative Support Specialist supports SurePoint Electronics by maintaining accurate documentation and entering, verifying, and managing business data across internal and external systems. This role works closely with the Purchasing Manager and Production Manager to assist with quote generation and ensure that customer and intercompany sales orders and manufacturing orders are entered correctly and on time. The position requires strong attention to detail, effective communication, the ability to multitask, and a continuous improvement mindset in a fast-changing, ever fluid environment.

Responsibilities

  • Maintain accurate, organized documentation and records with strong attention to detail.
  • Effectively manage multiple tasks and adjust priorities as necessary to accommodate evolving workloads and organizational requirements.
  • Enter and maintain quote data, including downloading and compiling information from internal and external systems to support accurate pricing and quoting.
  • Work closely with the Purchasing Manager and Production Manager to generate quotes accurately, including gathering material, labor, lead time, and revision information as needed.
  • Access internal and external systems to enter, review, and update Sales Orders and Manufacturing Orders.
  • Verify data integrity by checking for completeness and accuracy, identifying discrepancies, and coordinating corrections with the appropriate team members.
  • Communicate clearly and professionally with internal stakeholders and, when needed, with customers or suppliers via email, phone, or customer portals.
  • Continuously look for time and efficiency improvements by identifying repetitive tasks, proposing better processes, and helping standardize data entry and documentation practices.
  • Maintain confidentiality of company and customer information, including pricing, quotes, production information, and related business data.
  • Provide support and assistance in achieving the overall goals and objectives of SurePoint Ag Systems through collaboration, teamwork and communication.
