About The Position

The Administrative Support Specialist provides comprehensive administrative and clerical support to leadership and office staff while serving as backup front desk support. This role manages day-to-day office operations, coordinates communication among internal teams and external partners, and assists with document preparation, scheduling, and special projects. The position requires strong organizational skills, attention to detail, and proficiency with Microsoft Office and Adobe applications.

Requirements

  • 3–5 years of administrative or office support experience preferred.
  • Proven experience providing administrative support in an office environment.
  • Strong proficiency in Microsoft Office Suite, including Outlook, Excel, and other Microsoft Office applications.
  • Experience using Adobe applications for document preparation and formatting.
  • Solid data entry and clerical skills with strong attention to detail.
  • Ability to manage multiple tasks, prioritize work, and meet deadlines.
  • Strong written and verbal communication skills for managing calls, emails, and correspondence.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Professional front desk and office support skills, including greeting visitors and answering phones.

Responsibilities

  • Provide administrative support to leadership and office staff, ensuring daily operations run smoothly.
  • Serve as backup front desk support by greeting visitors in a professional manner and answering incoming phone calls.
  • Act as a liaison between internal teams, clients, subcontractors, and vendors to facilitate clear and timely communication.
  • Manage incoming and outgoing calls, emails, and other correspondence with accuracy and professionalism.
  • Maintain organized filing systems, including both electronic and physical records.
  • Prepare, edit, and format documents, reports, and presentations using Microsoft Office and Adobe applications.
  • Coordinate meetings, including scheduling, preparing materials, and arranging logistics.
  • Arrange travel and support the planning and coordination of events as needed.
  • Organize, handle, and maintain confidential information with discretion and integrity.
  • Support and occasionally lead administrative projects from initiation through completion.
  • Identify opportunities for process improvements and recommend or help implement more efficient administrative procedures.
  • Assist with website updates or the creation and editing of marketing materials as requested.
  • Perform other administrative and office support duties as assigned to support overall business operations.
