The purpose of this position is to provide administrative support to the attorneys in the Transportation Division of the NC Attorney General’s Office. Duties and responsibilities include preparing Administrative Office of the Court forms to include Notices of Appearance and Substitution of Counsel; maintaining Condemnation litigation files, ordering maps, and map distribution; preparing memoranda to the NCDOT Right of Way Section to request final settlement checks; and entering information into the electronic case management system. It also includes processing closing notifications once a case is settled and transmitting judgments once a judgment is issued. The Administrative Specialist I is responsible for preparing litigation files for final archiving. The Administrative Specialist I is responsible for processing check requests for payment of mediation fees and obtaining W-9 forms from mediators; processing additional invoices and check requests related to litigation may also be required, such as deposition costs, witness fees, service of process fees to sheriffs, filing fees to clerks of court registrar of deeds, mediator’s fees, etc. Administrative Specialist I also obtain expense reimbursements for their assigned attorneys. They may also make travel arrangements for their attorneys, including requesting approval for excess payment. Administrative Specialist I may maintain calendars of significant dates for their attorneys’ cases. The Administrative Specialist I will prepare legal documents and correspondence under the supervision of an attorney. Familiarity with the NC Judicial Branch Statewide electronic-filing and case management system (Odyssey) is preferred. Administrative Specialist I may proofread, edit and format documents according to established procedures and rules so that a minimum of corrections is required by attorneys or other staff members and documents are produced within required deadlines.
