About The Position

The Office of Employee and Business Services (OEBS) provides customer service and operational support to ODJFS through five bureaus: Business Services, Civil Rights and Labor Relations, Human Resources, Multimedia Services, and Training and Educational Services. OEBS customers include all ODJFS employees, clients, service providers, county agencies, and the public. This role serves as the first point of contact at the agency’s front desk, providing professional and courteous assistance to staff, partners, and the public. It also supports the Director’s learning initiatives, including list management, and alignment with leadership priorities, as well as providing administrative support to the Training & Educational Services bureau with administrative tasks that advance office and agency initiatives. The position requires handling confidential information responsibly and maintaining accurate, complete records.

Requirements

  • Option 1: Completion of associate core coursework in secretarial science or business office applications from accredited career school or community college; AND 12 mos. exp. in secretarial/administrative professional field.
  • Option 2: 30 mos. exp. or 30 mos. trg. in secretarial/administrative professional field.
  • Option 3: 12 mos. exp. as Administrative Professional 2,16872.
  • Option 4: Equivalent of minimum class qualifications for employment noted above.
  • Strong customer‑service skills with the ability to professionally engage internal and external visitors.
  • Excellent communication skills, including call‑handling and written communication.
  • High attention to detail and accuracy across recordkeeping, documentation, and compliance.
  • Ability to follow and enforce safety and security protocols consistently.
  • Ability to handle confidential information with discretion.
  • Competence in supporting administrative, training, and program‑coordination activities.

Responsibilities

  • Serve as the first point of contact at the agency’s front desk, providing professional and courteous assistance to staff, partners, and the public.
  • Support the Director’s learning initiatives (i.e. Topic of the Month), including list management, and alignment with leadership priorities.
  • Support the Training & Educational Services bureau with administrative tasks that advance office and agency initiatives.
  • Handle confidential information responsibly and maintain accurate, complete records.
  • Welcome and assist all Director’s Office floor visitors, verify identification, and escort individuals to secure locations in accordance with safety and security protocols.
  • Answer, route, and triage incoming calls in alignment with agency service standards.
  • Maintain front desk procedures, call trees, and visitor management checklists.
  • Manage lists, communications, resources, and reports for bi-monthly learning initiatives.
  • Provide administrative support to Training and Educational Services.
