Business Support Services handles mail services, central printing and distribution of forms and documents, assembly of policies, document imaging and customer service. The group also manages the retention and/or destruction of confidential Company documents. The Business Support Services department is hiring for an Administrative Operations Representative to join their team! This position requires an in-office schedule 5 days a week.

Requirements

  • High School Diploma or equivalent.
  • Possesses organizational abilities to manage multiple tasks efficiently.
  • High attention to detail related to communications, scheduling, and recordkeeping.
  • Demonstrates working knowledge of business systems and applications and utilizes relevant equipment to perform job functions effectively.
  • Develops working knowledge of department operations, policies, and procedures.
  • Excellent interpersonal and communication skills.
  • Demonstrates interpersonal and communication skills.
  • Proven ability to handle confidential information with discretion.

Responsibilities

  • Handles scanning, print production, and assembly tasks like binding, folding, cutting, and packaging.
  • Runs and supports digital print/production equipment including copiers, printers, and finishing devices.
  • Formats print-ready files, ensuring proper alignment and page setup before production.
  • Performs checks on printed materials for accuracy, completeness, and adherence to specifications.
  • Monitors queues and prioritizes jobs based on urgency, deadlines, and customer needs.
  • Resolves basic equipment issues, escalates complex ones, and keeps work areas stocked and operational.
  • Assists internal customers with print submissions, greets visitors, and screens/routes incoming calls.
  • Inputs data into systems and conducts basic accuracy checks.
  • May assist with new hire setup, hardware requests, and user access requests.
  • Juggles multiple tasks, meets deadlines, adapts to changing priorities, and clearly communicates job status to internal customers.
