About The Position

This position serves as an Administrative Officer for the Division of Administrative Services within the Department of Administration and supports a wide range of administrative operations including budgeting, accounting, payroll, procurement, travel coordination, and human resources activities. The position works closely with division leadership and staff across the department to coordinate projects, improve administrative processes, and ensure compliance with State policies and procedures. Responsibilities include assisting with budget development and tracking, processing and reviewing financial transactions, coordinating recruitments and personnel actions, supporting procurement and travel activities, and maintaining organizational and operational records. This is a flexibly staffed Administrative Officer 1/2 position, offering the opportunity to progressively assume more complex and independent responsibilities as knowledge and skills are developed.

Requirements

  • Competency in Administration and Management: Knowledge of planning, coordination, and execution of business functions, resource allocation, and production.
  • Competency in Analytical Thinking/Problem Solving: Uses a logical, systematic, sequential approach to address problems or opportunities or manage a situation by drawing on one’s knowledge and experience base and calling on other references and resources as necessary.
  • Competency in Financial Management: Prepares, justifies, and/or administers the budget for program areas; plans, administers, and monitors expenditures to ensure cost-effective support of programs and policies; assesses financial condition of an organization.
  • Competency in Oral and Written Communication: Expresses information (for example, ideas or facts) to individuals or groups effectively, taking into account the audience and nature of the information (for example, technical, sensitive, controversial); makes clear and convincing oral and written presentations; listens to others, attends to nonverbal cues, and responds appropriately.
  • For Administrative Officer 2: Competency in Budget Administration: Knowledge of the principles and practices of budget administration and analysis; including preparing, justifying, reporting on, and executing the budget; and the relationships among program, budget, accounting, and reporting systems.
  • For Administrative Officer 2: Competency in Organizational Awareness: Knows the organization's mission and functions, and how its social, political, and technological systems work and operates effectively within them; this includes the programs, policies, procedures, rules, and regulations of the organization.
  • Any combination of preparatory post-secondary education and/or experience providing administrative support to a business or organization, business administration, public administration, finance, banking, accounting, industrial relations, marketing, human resource management, logistics and supply chain management, or a similar business field.
  • For Administrative Officer 2: Any combination of preparatory post-secondary education and/or progressively responsible experience providing administrative support to a business or organization, business administration, public administration, finance, banking, accounting, industrial relations, marketing, human resource management, logistics and supply chain management, or a similar business field.
