The Administrative Office Coordinator plays a vital role in managing the daily administrative operations of our Center City Philadelphia location. This position serves as the primary point of contact for clients, visitors, and staff, while providing essential administrative support to our psychiatric team and ensuring the office runs efficiently.

Requirements

  • High school diploma or equivalent required
  • Strong attention to detail and accuracy, particularly with data entry and documentation
  • Excellent customer service and interpersonal communication skills
  • Ability to collaborate effectively with clinical, medical, and administrative staff
  • Professional and compassionate approach when handling sensitive or challenging phone calls
  • Sound judgment, problem-solving skills, and the ability to work independently

Responsibilities

  • Oversee daily administrative operations and provide front desk reception services
  • Welcome clients and visitors in a professional, courteous manner
  • Support psychiatric staff with administrative tasks, including chart preparation and copay collection
  • Schedule appointments and process medical records requests
  • Maintain accurate clinical and administrative documentation
  • Ensure office equipment is properly maintained and operational
  • Order office supplies, manage petty cash, and complete weekly bank deposits
  • Perform additional administrative duties as assigned
