About The Position

The Administrative Office Coordinator provides comprehensive administrative support to office staff and serves as a key point of contact for employees and visitors. This role manages front desk operations, coordinates communications, and supports daily office activities to ensure a professional, efficient, and well-organized work environment.

Requirements

  • A minimum of 3 years of experience in administrative support or a similar office-based role.
  • Proficiency with Microsoft Office, including strong knowledge of Word and Outlook.
  • Excellent verbal and written communication skills.
  • Demonstrated ability to prioritize and handle multiple tasks in a fast-paced environment.
  • Strong organizational skills with a high level of attention to detail.
  • Self-motivated and able to work independently while supporting a broader team.
  • Ability to consistently meet deadlines.
  • Experience working in an office environment, including front desk and general administration duties.
  • High school diploma or equivalent.

Nice To Haves

  • Associate degree preferred.
  • Knowledge of the architecture and engineering (A/E) industry is desired.
  • Professional demeanor with a customer-focused approach.
  • Ability to maintain confidentiality and handle sensitive information appropriately.

Responsibilities

  • Perform reception duties, including greeting employees and visitors in a professional and welcoming manner.
  • Answer and direct telephone calls promptly and accurately, and deliver messages to appropriate staff members.
  • Schedule and coordinate conference calls, ensuring all participants have the necessary information and materials.
  • Coordinate incoming and outgoing mail, including sorting, distributing, and preparing items for shipment or delivery.
  • Assist with coordinating and arranging lunches and related office events as needed.
  • Provide general administrative support to staff, including document preparation, copying, filing, and data entry.
  • Maintain an organized front desk and office environment to support efficient daily operations.
  • Prioritize and manage multiple tasks in a fast-paced environment while meeting deadlines.
  • Communicate clearly and professionally in both verbal and written formats with internal and external contacts.
  • Support office administration activities and collaborate with team members to ensure smooth workflow.
