States Industries is looking for a Bilingual Administrative Coordinator – HR & Accounting to serve as the first point of contact for employees, applicants, visitors, and vendors while providing critical support to our Human Resources and Accounting teams. Requirements

  • Fluent in both English and Spanish (written and spoken)
  • Strong customer service and communication skills
  • Excellent organizational skills and attention to detail
  • Ability to handle confidential information professionally
  • Proficiency with Microsoft Office (Word, Excel, Outlook)
  • Ability to prioritize and manage multiple tasks independently

Nice To Haves

  • Two or more years of experience in administrative support, HR, accounting, or a related field
  • Experience with HRIS systems such as Paycom
  • Experience with multi-line phone systems

Responsibilities

  • Greet employees, visitors, and vendors in both English and Spanish
  • Answer and direct incoming calls
  • Maintain a professional and welcoming reception area
  • Process mail, packages, and deliveries
  • Manage building access cards and office supplies
  • Assist with translation of documents and conversations as needed
  • Serve as an initial point of contact for employee questions
  • Assist with onboarding and new hire paperwork
  • Maintain electronic employee files
  • Prepare safety-related documents and vouchers
  • Support employee relations initiatives and special projects
  • Provide backup support for accounts payable
  • Sort, scan, and file invoices and financial documents
  • Review expense reports for completeness
  • Run recurring reports and assist with administrative accounting tasks
  • Provide administrative assistance to members of the leadership team
  • Handle confidential information with discretion
  • Support special projects and ad hoc requests
