About The Position

This position is located in the Office of the Deputy Secretary at the Louisiana Department of Public Safety & Corrections – Corrections Services. The mission of the department is to promote public safety and strengthen communities through fair, professional, and responsive corrections services. This role functions as an assistant to the Deputy Secretary and supports the Secretary's Office in daily routine activities. The position involves communicating with government and institutional officials of all levels, providing accurate and confidential information, and assisting the general public with information as allowed by law. Requirements

  • Three years of experience in administrative services.
  • Accepting Direction: The ability to be open and willing to follow guidance or instructions.
  • Following Policies and Procedures: The ability to follow, reinforce, adapt, or develop policies and procedures to maintain compliance with federal and state legal requirements, State Civil Service rules, and organizational policies.
  • Managing Resources: The ability to manage financial, physical, and contractual resources to ensure compliance and maximize business value.
  • Applicants must authorize the HR Office of DPS&C-Corrections Services to contact prior employers to check references under the Prison Rape Elimination Act (PREA) by answering ‘YES’ to the PREA question.
  • Any degree, certificate, special license, or DD-214 must be verified by official documentation prior to hire.
  • Any qualifying experience that is based on college credit/college hours should have an accompanying transcript for verification.

Responsibilities

  • Prepares weekly payroll for the Secretary, Deputy Secretary, and Undersecretary Office personnel by collecting and distributing source documents for payroll entry.
  • Inputs payroll into the LaGov HCM system and verifies the accuracy of payroll against reports.
  • Conducts audits of payroll files by cross-checking Fixed Time Entry Reports to original Time and Attendance Reports.
  • Answers telephones and responds accurately to inquiries regarding sensitive and confidential matters.
  • Greets guests of the Secretary's Office.
