About The Position

This role involves providing comprehensive administrative support, including preparing official correspondence, managing schedules, editing documents, assisting with program management, providing records management support, and performing Command Pay and Personnel Administrator (CPPA) functions. The position requires strong organizational skills, proficiency in Microsoft Office, and the ability to work independently and communicate effectively.

Requirements

  • Four (4) years of Secretarial experience performing the task/duties of an Administrative Assistant or duties of a Secretary III.
  • Ability to collect information and respond to routine inquiries and/or prepare periodic reports/presentations.
  • Proficient in Microsoft Office: Word, Excel, PowerPoint, Outlook and Access.
  • Demonstrate the ability to work independently and be able to communicate effectively both orally and through formal reports.
  • Must be able to obtain and maintain a SECRET clearance.
  • Must be able to work independently, have strong written and verbal communication skills and an ability to coordinate multiple tasks.
  • Superior customer service focus.
  • Be able to read, write, speak, and understand the English language.
  • U.S. Citizenship is required.
  • Acceptable reference and background check results.
  • Pass a pre-employment drug screening.

Nice To Haves

  • Some travel will be required.

Responsibilities

  • Prepare official correspondence/documents, maintain an incoming and outgoing log of naval correspondences/documents, serialized correspondence, and submit correspondence/ documents for signature.
  • Monitor leadership schedules/calendars, make arrangements for conferences and meetings and assemble established background materials as directed.
  • Edit and proof documents for grammar and spelling as well as format all documents in accordance with government guidelines.
  • Assist Management Internal Control Program (MCIP) Coordinator with maintenance/ updating of the program notebooks, which includes tracking.
  • Provide records management support and transmit text data and graphics as required.
  • Upload travel into online tracking system.
  • Create, route, and track message traffic.
  • Prepare official correspondences for the legal department.
  • Perform Command Pay and Personnel Administrator (CPPA) functions.
  • Attend meetings and record minutes as required.
  • Other duties as assigned.
