About The Position

The Administrative Assistant provides administrative support to ensure efficient operations of college programs and services. Responsibilities include managing office tasks, maintaining records, preparing correspondence and reports, coordinating schedules and events, assisting with budgets, and providing excellent customer service to students, faculty, staff, and visitors. This role supports departmental projects and promotes a welcoming, inclusive environment while working independently to prioritize tasks, meet deadlines, and follow established procedures.

Requirements

  • High School diploma or equivalent.
  • Minimum of three (3) years of office support or related experience.
  • Intermediate proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
  • Ability to follow instructions, manage multiple tasks, and meet deadlines independently, seeking guidance only for complex or unclear situations.
  • Ability to work effectively with individuals from diverse backgrounds and maintain a respectful, inclusive environment.

Nice To Haves

  • Experience working with computer information systems used for student and employee data and reporting such as Workday.

Responsibilities

  • Prepare and maintain records, databases, and reports with accuracy and confidentiality.
  • Provide clerical support, including data entry, filing, and document preparation.
  • Coordinate meetings, calendars, events, travel, and room reservations; update systems as needed.
  • Assist with preparing materials and communications for meetings, presentations, and events.
  • Support the creation and distribution of promotional materials for departmental programs.
  • Manage office supplies, equipment maintenance, vendor requests, and routine purchases within budget.
  • Maintain department internal webpage and assist with public relations materials.
  • Greet and assist visitors in person, by phone, and email, providing information and directing inquiries as needed.
  • Communicate clearly and courteously to support student success.
  • Assist with outreach activities to share college information with internal and external audiences.
  • Participate in cross-departmental initiatives and campus events.
  • Identify and recommend process enhancements to improve efficiency and service delivery.
  • Perform other duties as assigned to support the mission, vision, strategic priorities and goals of the College and the primary unit, division and department of this position.
