Recruiting for the position of an Administrative Assistant, the successful candidate would be based out of our Los Angeles office in Anaheim, CA. In this position you will be an essential part of assisting the division’s daily operations with accountability for travel coordination, accounts payable, data entry, electronic document control and overall division administrative responsibilities.

Requirements

  • Minimum High School Diploma
  • 3+ years of previous administration experience
  • Strong proficiency in Microsoft Office Suite (MS Word, MS Excel and MS Outlook essential) to create, respond to inquiries and develop and maintain spreadsheets for various operational tasks.
  • Comfortable learning new software programs
  • Experienced with AP/AR and payroll
  • Excellent written and verbal communication skills, as well as strong interpersonal skills
  • Strong organizational and time-management skills
  • Flexible, skilled at multi-tasking and detail-oriented

  • Preference given to those experienced working with Unions
  • Preference given to those who have or are open to obtaining Notary License

Responsibilities

  • Working cross functionally to support administrative operations in various systems including Salesforce and Procore
  • Maintaining common work areas including meeting and break rooms
  • Training on payroll processing and accounts payable procedures
  • Assisting with event planning by setting up the office or making external arrangements
  • Ordering supplies for office, safety and operational divisions
  • Assisting with new hire processing
  • Assisting with equipment tracking
  • Participating in appropriate team meetings
  • All other duties not listed shall be assigned upon employment and growth in the position
