This person would be remote but located in San Diego California. Role Overview: We are seeking a reliable, organized, and proactive Part-Time Administrative Assistant to support the CEO and provide essential entry-level recruitment support to the team for a 2–3-month period. This is a versatile role ideal for someone who thrives in a fast-paced, small-team environment and is passionate about the wellness industry. You will help keep operations running smoothly while gaining exposure to executive recruiting. This role could morph into a full time recruiter position for the right candidate.

Requirements

  • 2+ years of administrative experience
  • Highly organized with excellent attention to detail and follow-through
  • Strong written and verbal communication skills; professional, warm, and polished tone
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint), Google Workspace, and calendar management tools
  • Ability to work independently while being a collaborative team player
  • Discretion and high level of professionalism when handling sensitive information

Nice To Haves

  • recruiting or staffing experience is a strong plus
  • Familiarity with LinkedIn, applicant tracking systems (ATS), or CRM tools is a plus
  • Genuine interest in the wellness, nutraceutical, or CPG industry preferred

Responsibilities

  • Manage the CEO’s calendar, schedule meetings, and coordinate appointments
  • Handle email correspondence, draft professional responses, and maintain follow-up systems
  • Assist with event coordination, and expense tracking
  • Prepare documents, presentations, invoices, service agreements, and client communications
  • Support Leading for Wellness (LFW) events, podcast activities, and community initiatives
  • Manage general office administration and light project coordination
  • Assist with sourcing and screening resumes for entry-level and junior roles
  • Schedule candidate interviews and coordinate logistics
  • Maintain and update the candidate database/CRM
  • Conduct basic candidate research and LinkedIn searches
  • Help prepare candidate profiles and resumes
  • Support team with administrative aspects of the full-cycle recruiting process
