You will play a vital role in agency acquisitions, new agent launches, and ongoing district projects, driving accountability, visibility, and results across the team.

Requirements

2+ years in an administrative, executive assistant, or operations role
Outstanding organizational and time-management skills
High attention to detail and unwavering accuracy
Proficiency in Microsoft Office (Excel, Outlook, Teams)
Ability to juggle multiple priorities in a fast-paced environment

Nice To Haves

Experience with project management tools (ClickUp, Asana, etc.)
Background in insurance, sales operations, or recruiting support
Skilled in trackers, dashboards, or reporting systems

Responsibilities

Maintain and update internal trackers for agency acquisitions, new agent launches, recruiting pipelines, and district metrics.
Ensure all trackers are accurate, updated daily, and instantly accessible.
Track milestones for acquisitions and launches to meet deadlines.
Proactively follow up with stakeholders, ensuring nothing falls behind.
Spot potential roadblocks and escalate when needed.
Oversee calendars, meetings, and internal communications.
Prepare insightful reports and status updates for leadership.
Organize digital files and documentation.
Help shape efficient workflows and continually improve office systems.
Assist in building dashboards and reporting tools for leadership.
Coordinate closely with recruiting, training, and leadership teams.
Serve as the key liaison for district initiatives.
Send reminders, frequent updates, and follow-ups to keep projects on track.
Ensure that important details never slip through the cracks.
