About The Position

The Essex-Windsor Solid Waste Authority (EWSWA) is seeking a highly organized and detail-oriented Administrative Assistant to provide essential administrative, clerical, payroll, records management, and reporting support. This role is ideal for someone who thrives on organization, enjoys working with data and documentation, and takes pride in providing exceptional customer service to both internal and external stakeholders. The EWSWA is the governmental agency charged with the responsibility of providing an economical and environmentally conscious integrated solid waste management system for the County of Essex and the City of Windsor.

Requirements

  • Two-year College Diploma in Office Administration – Executive, Accounting, or related discipline
  • One (1) to two (2) years of related administrative experience
  • Experience with records management, payroll administration, and office support functions
  • Working knowledge of bookkeeping and accounting practices
  • Experience with database administration, including Microsoft Access
  • Strong proficiency in Microsoft Office programs, particularly Excel and Word
  • Excellent organizational, time management, and attention-to-detail skills
  • Strong verbal and written communication, organizational skills
  • Demonstrated ability to manage confidential information with discretion
  • Experience with Ontario’s accessibility legislation and accessibility standards as they relate to written correspondence and reporting
  • Must possess and maintain a valid Class “G” Ontario driver’s license
  • Must have access to a personal vehicle for work-related travel within Windsor and/or the County of Essex
  • Must provide a Ministry of Transportation Driver Abstract (Uncertified)
  • Must provide a Police Information Check (PIC) document

Responsibilities

  • Receive incoming calls, visitors, and inquiries, providing information and directing requests appropriately
  • Type correspondence, forms, reports, and other documentation
  • Provide ongoing clerical and administrative support to EWSWA staff
  • Manage electronic and hard-copy filing systems and archives
  • Complete bi-weekly payroll data entry
  • Process and distribute personnel-related documentation, including attendance control forms, subsidy applications, new hire documentation, and employee status changes
  • Maintain accurate records and support administrative processes related to employee and organizational activities
  • Assist the Manager, Finance and Administration with records management such as data entry, reporting, and online submissions
  • Support the EWSWA document retention, records management, and destruction protocols
  • Compile monthly, annual, and biannual Waste Diversion and Waste Disposal reports for internal management and submissions to the Environment Ministry
  • Coordinate and prepare information requests for various agencies
  • Assist EWSWA managers with inventory-related records management using databases and tracking systems
  • Support inventory purchasing processes, including requests for quotations (RFQs), delivery tracking, reporting, and budget preparation
  • Maintain accurate inventory records and supporting documentation
  • Provide backup support for other EWSWA positions as required
  • Collaborate with staff across departments to support operational and administrative initiatives
  • Participate in special projects and assignments as required
  • Support additional departmental projects and initiatives as required
