About The Position

Provide support to the Director of CFTSS/CMHRS, coordinating secretarial and administrative support. This role involves processing admissions and discharges, screening referrals, entering data into AWARDS, running Medicaid eligibility checks, scheduling service intakes, and managing treatment plan reviews and consents. The position requires proficiency in various office software, attention to detail, and the ability to work independently and manage multiple tasks effectively. The role also involves handling confidential information, prioritizing correspondence, and directing incoming calls. Requirements

  • High School diploma.
  • Previous supervisory experience in an office environment.
  • Intermediate skills in Microsoft Word and Excel.
  • Proficiency in the use of Windows, Access, Excel, Microsoft Office, and word processing programs including: Word, Word Perfect.
  • Conscientious about details.
  • Ability to be self-directed and a self-starter.
  • Must be available to work a 20-hour work week.
  • Must be able to lift 25 pounds.
  • Must have a valid NYS driver's license with a clean MVR.
  • Willingness to respond to the needs of a culturally diverse population.
  • Ability to be seated and use computer equipment for several hours a day.

Responsibilities

  • Assists the Director of CFTSS/CMHRS in processing admissions and discharges in the CFTSS program.
  • Screens referrals to ensure they meet minimum criteria for admission into the CFTSS program.
  • Enters referrals and referral information (i.e., demographic information, medical necessity) into AWARDS.
  • Runs initial Medicaid eligibility.
  • Schedules service intakes with families.
  • Runs reports in AWARDS with program information.
  • Oversees treatment plan review schedule, receipt of one-time medical necessity form, and annual consents for services.
  • Organizes materials in preparation for meetings and conferences.
  • Manages multiple tasks and brings these to successful conclusion.
  • Shifts priorities as needed.
  • Maintains information and documents in a confidential manner.
  • Prioritizes daily correspondence.
  • Receives incoming telephone calls to the office and directs them as needed.
  • Provides support to the CFTSS program and practices open communication and social responsibility.
