About The Position

This position provides high-level administrative and organizational support to the Chief Operations Officer and executive leaders at a 302-bed state psychiatric hospital. The position ensures the seamless management of the COO’s schedule, communication, and responsibilities. By serving as a liaison between the COO and internal/external stakeholders, this role fosters effective communication and operational efficiency, enabling the COO to focus on strategic leadership initiatives. This position also plays a critical role in the development, review, and compliance of hospital policies, coordination of meetings, and logistical support for hospital-wide initiatives.

Requirements

  • Experience working as an Executive Assistant for a Department Head or higher-level position.
  • Experience with utilization of Microsoft Office Suite (to include email).
  • Experience with utilization of electronic calendars and maintaining appointments and schedules.
  • Experience providing clerical duties (i.e. proofreading and editing with correct grammar, punctuation and spelling for business communications).
  • Experience maintaining appropriate filing systems (i.e. electronic and paper).
  • Experience with policy review, event coordination, and stakeholder engagement.
  • Experience researching and analyzing data to prepare and/or summarize reports for executive staff.

Nice To Haves

  • Experience with Joint Commission Standards.
  • Experience with automated timekeeping systems (i.e. Kronos).
  • Experience with Commonwealth HR and Procurement policies and procedures.
