About The Position

Shriners Children's is the premier pediatric burn, orthopaedic, spinal cord injury, cleft lip and palate, and pediatric subspecialties medical center. We have an opportunity for part time Administrative Assistant to join our Research team in Boston, MA. The schedule is 24 hours per week. The pay range for this position is $25.66/hr - $38.49/hr. Compensation is determined based on years of experience and departmental equity.

Requirements

  • HS diploma/GED required
  • 3 years Administrative experience or Secretarial Experience with Associate's Degree required.

Nice To Haves

  • Associates degree preferred.
  • Experience in research department preferred.
  • Credentialing and grant proposal experience preferred.
  • Strong organizational, time management, customer serviced skills preferred.
  • Intermediate level of experience in Microsoft Office Suite preferred.

Responsibilities

  • Coordinates office services such as purchasing, payroll, records control, credentialing and other administrative activities for research departments.
  • Coordinates and implements office services such as purchasing lab and office supplies, submitting payroll, and processing expense reimbursements.
  • Works closely with finance management in monthly fiscal balances, material purchasing, payroll, record control, and other administrative activities for each grant or other organizational unit.
  • Collects, verifies and processes credentialing applications for monthly appointing of new and renewing initial scientific staff; ensures files are presented in a complete and timely fashion to the Research and Grants Committee.
  • Participates in and conducts orientation of new employees as needed, including pre- and post- coordination of new hires with HR.
  • Handles ID badge approval for MGH employees working in Shriners research spaces.
  • Assists with research grant activities (research grants/fellowship grants/ industrial grants).
  • Coordinates the planning of application activities, managing the submissions (reviewing the submitted grants and making adjustments and corrections) and summarizing final grant statistics (total investigator salaries, capital equipment, travel requests, SSF usages etc).
  • Other duties as assigned
