We focus on providing delivery, staffing, and supported services such as enterprise integration/implementations including, but not limited to, CRM, EAM, ERP, PMO, and QA. We service clients in SLED (state/local gov't & education), financial services, fortune, public utility, as well as regularly partnering with Big 4 SI partners. Administrative Assistant Location: Valparaiso, IN (Onsite) Work Location: 870 Eastport Centre, Valparaiso, IN 46383, United States Employment Type: Contract (W2 Only) Client: Public Utility Client Important Requirements W2 employment only (No C2C or 1099) U.S. Citizens and Green Card holders only Onsite role in Valparaiso, IN Position Overview We are seeking an experienced Administrative Assistant to provide high-level administrative and operational support for a team within a leading public utility organization. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while supporting daily business operations in a fast-paced environment.

Requirements

  • High School Diploma required; post-secondary education preferred.
  • 6+ years of Administrative Assistant, Executive Assistant, or Office Administration experience.
  • Strong experience supporting managers or business teams in a professional environment.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience using ERP systems and other business applications.
  • Excellent organizational, communication, and multitasking skills.
  • Ability to work independently with minimal supervision.
  • Strong attention to detail and problem-solving abilities.
  • Experience handling confidential information professionally.

Nice To Haves

  • Previous experience supporting teams within a public utility, energy, engineering, construction, or regulated industry environment.
  • Experience with budget administration, travel coordination, and expense management.
  • Familiarity with corporate administrative processes and reporting.
  • Highly organized and dependable professional.
  • Strong interpersonal and customer service skills.

Responsibilities

  • Provide administrative support to managers and department teams.
  • Coordinate calendars, meetings, conference room reservations, and scheduling activities.
  • Assist with budget tracking and administrative financial support.
  • Manage travel arrangements, including bookings, itineraries, and travel requests.
  • Process timesheets, expense reports, and other administrative documentation.
  • Maintain team correspondence, records, and confidential documentation.
  • Support employee onboarding, staff changes, and personnel-related administrative activities.
  • Prepare reports, presentations, spreadsheets, and business documents.
  • Utilize ERP systems, Microsoft Office applications, and other business software to support daily operations.
  • Organize and prioritize multiple assignments while meeting deadlines.
  • Make independent decisions within the scope of assigned responsibilities.
  • Perform additional administrative and secretarial duties as assigned.
