Requirements

  • Significant work experience demonstrating use of Microsoft 365 (particularly Outlook, Word, Excel and Teams).
  • 2 to 4 years of administrative experience.
  • Excellent data entry skills and high attention to detail with an aptitude for proofreading and suggesting alternatives.
  • Excellent written and verbal communication skills.
  • Ability to multi-task and prioritize.
  • Exceptional client service mindset.
  • Computer savvy – ability to learn and troubleshoot various computer programs.
  • Talent to handle multiple tasks and shifting priorities while maintaining a high level of accuracy.
  • Takes initiative, takes direction and works well independently.
  • Keen attention to detail, efficient and accurate.

Responsibilities

  • General administrative duties including reception, filing, photocopying, scanning, faxing, and mailing.
  • Working independently and within a team to support client service staff in producing high-quality client deliverables.
  • Reviewing and assembling financial statements, tax returns, correspondence, proposals, and presentations using the Microsoft 365 suite in accordance with firm standards and branding.
  • Preparing letters and reports using firm templates in compliance with Firm standards.
  • Proofreading, reviewing for quality, and verifying content before finalizing client deliverables.
  • Scanning documents and embedding them in electronic files.
  • Welcoming clients by greeting them in person or on the telephone, and answering or referring inquiries.
  • Participating in training and staying current with company software.
  • Providing billing support using various Doane Grant Thornton systems and in accordance with engagement letter terms.
  • Organizing information and maintaining D365 (CRM database) for marketing purposes using contact relationship management software.
  • Coordinating internal/external meetings, room bookings, meals/catering, events, and video conferences.
