About The Position

Ameresco is seeking an Administrative Assistant in Washington, DC to provide full-time, on-site administrative support to facility operations at a secure federal campus. This role supports operations, maintenance, and engineering teams by managing day‑to‑day administrative tasks, work order processing, purchasing support, and customer communications across multiple facility locations, including boiler and chiller plants.

Requirements

  • High school diploma or GED required.
  • Minimum of 5 years of administrative support experience in a facilities, maintenance, construction, or service-based environment.
  • Ability to review confidential US security information.
  • Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
  • Strong organizational skills with the ability to multitask, prioritize work, and meet deadlines.
  • Strong verbal, written, interpersonal, and customer service skills.
  • Experience with purchasing, procurement tracking, or uniform and equipment tracking.

Nice To Haves

  • Experience supporting federal, military, or secure facilities preferred.
  • Familiarity with basic mechanical or maintenance terminology preferred.
  • Experience entering and tracking work orders or service tickets using a CMMS or similar system preferred.

Responsibilities

  • Provide daily administrative support to facilities operations, maintenance, and engineering personnel.
  • Serve as the primary office contact, ensuring prompt, professional, and courteous telephone, email, and in‑person communications.
  • Create, issue, track, and close work orders and service requests using the site CMMS.
  • Schedule and distribute daily service tickets, repair calls, and maintenance requests.
  • Assist with purchasing activities, including preparing purchase requisitions, issuing purchase orders, tracking receipts, and maintaining procurement records.
  • Manage office operations and supplies for the main O&M office and satellite offices at boiler and chiller plants.
  • Process and distribute mail, deliveries, packages, and interoffice correspondence.
  • Prepare meeting agendas, capture meeting minutes, and support coordination of site meetings.
  • Support report preparation, proposal assembly, presentations, and general documentation using Microsoft Office applications.
  • Maintain filing systems, logs, and records in accordance with contract and customer requirements.
  • Coordinate scheduling, calendars, and logistics for site personnel as needed.
  • Foster positive working relationships with site customers, vendors, and internal Ameresco teams.
  • Maintain a high standard of professionalism and customer satisfaction.
  • Perform other duties as required.
