About The Position

Under the supervision of the Director of Athletics/Activities, perform and support administrative duties for the Roswell ISD Athletics Department. This role involves a wide range of secretarial tasks, scheduling, record maintenance, and coordination of various athletic and activity-related functions.

Requirements

  • High School diploma or GED.
  • Two years’ experience in an administrative secretarial position.
  • Experience working with computer systems, including data bases and word processing programs.

Responsibilities

  • Successfully complete assigned work duties.
  • Perform secretarial tasks including, but not limited to: typing correspondence, reports, agendas, minutes, memorandums, filing, copying materials, and placing/receiving/routing telephone calls.
  • Maintain files, schedules, calendars and other records.
  • Perform other tasks as may be deemed appropriate and necessary by the immediate supervisor and/or the Superintendent.
  • Maintain a valid list of equipment and inventory.
  • Possess an understanding of eligibility rules and participation requirements.
  • Maintain student athlete physical forms and distribute to school athletic trainer, coaches and physicians.
  • Order packets for distribution to ensure participants can enroll in student accident insurance programs.
  • Order and distribute information regarding the administration of football insurance.
  • Schedule athletic events for all high school and middle school teams in conjunction with the Director of Athletics/Activities.
  • Resolve conflicts in schedules, facilities, and transportation.
  • Maintain schedule for each team and distribute this information to the press, other schools, booster clubs, etc. upon request.
  • Send all local schedules and any changes that might occur through the season to the middle school and high school coordinators, officials assignor, and ticket manager to ensure that all games are being covered by necessary personnel, and bus companies to ensure that transportation will be covered for each event.
  • Process and assign district suburbans as needed for athletic/activity travel.
  • Ensure compliance with state standards for activity drivers; analyze records, assist with receiving and typing reports, schedule certification classes, ensure renewals are processed.
  • Coordinate the use of facilities by all groups with regard to reserving facilities, receiving and processing applications for reservations, and liability insurance documentation.
  • Design, publish and distribute schedules, programs and invitations for games and tournaments.
  • Design and distribute passes for tournaments.
  • Design and distribute complimentary passes including but not limited to Lifetime Retiree passes, passes for school board members, legislators, and community partners.
  • Maintain athletic department website.
  • Receive incoming calls and refer to the appropriate individual.
  • Submit work orders for the athletic department.
  • Order and maintain office supplies.
  • Submit varsity schedules to regional assignor in compliance with NMAA guidelines.
  • Generate contracts for officials assigned to all varsity games as posted on the current software platform.
  • Be flexible and able to prioritize tasks and maintain accurate and detailed records.
  • Work independently with very little supervision.
  • Report to work on time and work no less than 7 hours per day.
  • May be required to perform other duties as assigned by your supervisor.
