About The Position

This position supports abortion care through direct clinical triage, patient education, and follow-up, ensuring timely and empathetic support to those navigating abortion services. The ideal candidate is tech-savvy, trustworthy, discrete, and highly organized with a proven record of tracking and staying on top of tasks. They should have at least 1 year of experience managing logistical and administrative work, with a natural ability to multitask, work under pressure, juggle competing priorities, and meet deadlines without sacrificing quality. Excellent interpersonal and written communication skills, a keen eye for detail, and the ability to work diligently to meet deadlines and prioritize numerous tasks are essential. The candidate should demonstrate an ability to adapt to change, learn new things, be open to feedback, and be eager to improve. They should enjoy providing excellent customer service and creating systems to organize large amounts of information and documents, striving to do all with integrity. Flexible hours with a set schedule, including occasional evenings and weekends, are required.

Responsibilities

  • Assist in day-to-day administrative operations of the Medical Director, including coordinating and creating schedules, arranging meetings, travel planning, assisting with processing expense reports and timesheets, presentation preparation, and management of documents.
  • Support in coordinating logistic support for staff and contract physicians, including creating schedules, arranging meetings, assisting with travel planning, and processing expense reports and timesheets.
  • Support the Medical Director in the hiring process of physicians and other roles, as needed.
  • Perform the general duties of the Medical and/or Deputy Medical Director's office, including support for larger projects overseen by the MD and Deputy MDs.
  • Work with the broader Operations teams to provide administrative support, particularly as it relates to health care services; this may include managing documents and files, creating systems to organize information, coordinating meetings and schedules, arranging travel, processing of expense reports, and coordinating and participating in virtual and in-person meetings, as assigned by the Administrative Manager.
  • Regularly assess systems used in daily work for improvement opportunities and implement solutions that increase efficiency.
  • Handle select matters expeditiously and proactively, following them through to successful completion.
