About The Position

This position is available only to enrolled American University students. Most student positions at American University are eligible to use Federal Work Study (FWS) awards, with a few exceptions. FWS funds cannot be applied to janitorial, construction, partisan or sectarian positions. The Student Administrative Assistant will support the Facilities and Operations functions of the School of Public Affairs Dean’s Office. The students will assist with basic office support, handle front-desk operations, and help maintain the efficiency of building-wide services. The student worker must wear appropriate attire while working at front desk. All undergrad AU students with Federal Work Study award are eligible to apply for this position, with a preference for those students in SPA.

Requirements

  • Current American University student in good academic standing.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Professional demeanor with a customer-service mindset.
  • Ability to work independently and handle confidential information appropriately.
  • Willingness to learn internal systems (e.g., ticketing, scheduling tools).
  • Independent and critical thinking required.
  • Familiarity with Microsoft Office 365.
  • Must be able to start by Thursday, August 20.
  • Must have availability during fall break, Thanksgiving week (Monday – Wednesday), exams, and spring break.

Nice To Haves

  • Previous office or customer service experience is a plus.
  • Familiarity with Google Workspace, Canva, and Adobe is preferred.
  • Have availability the week prior to the start of spring semester and during spring break.

Responsibilities

  • Perform general administrative duties including scanning, copying, and printing.
  • Staff the Kerwin Lobby front desk during scheduled shifts.
  • Answer and route calls from the SPA main phone line.
  • Utilize the SPA Operations email and ticketing system to manage and respond to service requests.
  • Schedule and manage bookings for local conference rooms.
  • Deliver supplies to departments and offices.
  • Stock supplies.
  • Pick up and deliver mail to and from SPA departments as scheduled.
  • Assist with student advising walk-ins and direct students to appropriate services or contacts.
  • Support any special projects or tasks as assigned by the Facilities and Operations Coordinator.
