About The Position

The Administrative Assistant Senior position involves providing customer service to the public, including property owners, title searchers, lawyers, realtors, and contractors, who are seeking information about the zoning process. This role requires interpreting zoning regulations, flood maps, and critical analysis areas using GIS maps. Responsibilities include providing applicants with necessary applications and worksheets, reviewing applications for completeness, informing applicants of any additional information needed, and typing applications into the computer. The position also involves printing administrative permits, building cards, notices of hearings for abutters/applications, and permit request cards according to office checklists. Additionally, the role entails preparing permits, preliminary and final Certificates of Occupancy documents, and preparing and mailing agenda packets for Planning Commission meetings, ensuring timely distribution. The Administrative Assistant Senior will also warn and notice public meetings and hearings as requested by the Zoning Administrator, post agendas and permits on information boards, and record permits, final Certificates of Occupancy, and denied applications with the Town Clerk. Updating individual parcel files with permits, Certificates of Occupancy, denied applications, and notices of violations, as well as emailing scanned permit and Notice of Hearing advertisements to the newspaper are also key duties. The role requires working in conjunction with the 911 coordinator and assisting the public with understanding GIS informational maps, including flood information, and printing or emailing requested maps. Collaboration with co-workers and preparing the end-of-year report for the Director of the Permit and Zoning department are also expected.

Requirements

  • A Bachelor's Degree from an accredited four (4) year college or university in a field related to the above-described duties and five (5) years of professional experience in same
  • OR a high school diploma or GED and nine (9) years of professional experience as described above.

Responsibilities

  • Greet and assist the general public, including property owners, title searchers, lawyers, realtors, and contractors, seeking general information about the zoning process.

  • Provide applicants with appropriate application and worksheets for proposed projects.
  • Receive applications and review for completeness, informing applicants if additional information is needed.
  • Type applications into the computer, print administrative permits, building cards, NOTICE OF HEARINGS for abutters/applications, and Permit Request Cards according to office checklists.
  • Prepare permits, Preliminary Certificate of Occupancy, and final Certificate of Occupancy documents.
  • Prepare and mail agenda packets for Planning Commission meetings and ensure timely distribution.
  • Warn and notice public meetings and hearings as requested by the Zoning Administrator.
  • Post agendas on the information board, Library, and Emergency Services Building.
  • Post Permits and Notices of Hearing on the information board.
  • Record Permits, Final Certificate of Occupancy, and Denial of Applications with the Town Clerk.
