About The Position

We are looking for an Administrative Assistant who has a passion for quality construction. This position is responsible for providing broad clerical and administrative support to Risk Department.

Requirements

  • Ability to anticipate and meet the needs of internal and external customers, and respond promptly to support operational needs
  • Ability to work independently, follow instructions, and meet deadlines
  • Ability to maintain confidentiality of sensitive department information
  • Proven communication, organizational, and interpersonal skills
  • Basic computer skills, including proficiency in Microsoft Office (Word, Excel, Outlook) and Adobe Acrobat
  • Willingness to learn insurance, licensing, and subcontract terminology and processes
  • High School Diploma or Equivalent (Education beyond High School preferred)
  • 1-3 years of general office or administrative support experience preferred; on-the-job training provided
  • Equivalent combination of education and experience that demonstrates the ability to perform the key responsibilities of this position

Responsibilities

  • Provide general clerical and administrative support to all Risk Department functions, including insurance and subcontract administration
  • Assist with data entry and maintenance of department trackers, logs, and databases for certificates of insurance and subcontracts
  • Prepare, organize, and distribute documents for signature and execution, including subcontracts, certificates, and license applications
  • Maintain both physical and electronic department records, ensuring documents are accurately labeled and easily retrievable
  • Monitor upcoming renewal, expiration, and audit deadlines for licenses, insurance certificates, and notify the appropriate administrator
  • Assist in gathering documentation from subcontractors and vendors to support subcontract, insurance, and Avetta compliance requirements
  • Respond to routine inquiries, routing calls and emails to the appropriate department team member
  • Prepare correspondence, reports, spreadsheets, and basic presentations as directed by department staff
  • Provide backup administrative coverage for department staff during periods of absence
  • Support special projects, audits, and process improvement initiatives as assigned
  • Other duties as assigned
