About The Position

The Legal and Risk Administrative Generalist provides administrative support for Legal Services, Risk Management, and contract operations at Trinity Health. The position coordinates confidential records, correspondence, schedules, deadlines, and documentation related to legal matters, claims, subpoenas, and risk concerns. It also assists with routing, tracking, and maintaining contracts. The generalist works closely with the Director of Legal Services and Corporate Compliance and CEPS leadership to support timely, accurate, and coordinated workflows.

Requirements

  • High school diploma or equivalent required.
  • Two years of administrative support experience preferred.
  • Strong organization, follow-through, and attention to detail.
  • Ability to manage multiple requests and deadlines and recognize when an item needs prompt attention.
  • Clear, professional written and verbal communication.
  • Proficiency with Microsoft Office and ability to learn document and contract management systems.
  • Sound judgment when handling confidential information.
  • Ability to work collaboratively across departments while following established processes and direction.

Nice To Haves

  • Additional education or training in business administration, healthcare administration, legal office support, or a related field preferred.
  • Paralegal training is not required.
  • Experience in healthcare, legal services, risk management, contracts, or another confidential office setting is helpful.

Responsibilities

  • Organize and maintain confidential legal, risk management, claims, and contract files in established systems.
  • Prepare, process, and track correspondence and documentation related to legal matters, potential claims, subpoenas, interrogatories, and regulatory inquiries.
  • Coordinate requests for medical records and supporting documents with the appropriate departments and prepare materials for authorized recipients as directed.
  • Track deadlines, requests, case activity, and follow-up items; alert the appropriate leader to time-sensitive matters.
  • Schedule and coordinate meetings, depositions, hearings, and other legal or risk-related activities.
  • Assist with routine communication and documentation involving outside counsel, insurance carriers, court personnel, internal leaders, and staff.
  • Route contracts for legal counsel review, track review status, and upload and maintain documents in the contract management platform.
  • Assist Contract Legal and Operational leaders with documentation and coordination for annual contract reviews.
  • Prepare routine summaries, reports, and materials to support Legal Services and CEPS workflows.
  • Review incoming safety reports (SRMs), identify the appropriate initial follow-up pathway, route reports to the responsible leader or team, and track follow-up through completion.
  • Escalate reports requiring clinical, legal, risk management, or leadership review.
  • Protect confidential, patient, employee, and organizational information in accordance with applicable policies and requirements.
  • Collaborate with Legal Services and CEPS leadership to identify administrative priorities and maintain continuity of support.
  • Perform other duties as assigned.
