About The Position

Vishay Intertechnology, Inc. is a Fortune 1000 Company seeking a Temporary Administrative Assistant for its San Jose, CA location. This role provides essential administrative support across the organization, including to Department Managers and Employees Worldwide. The position involves a variety of tasks such as data compilation, report preparation, meeting coordination, travel arrangements, supply ordering, and records maintenance. The company manufactures a vast portfolio of discrete semiconductors and passive electronic components crucial for innovative designs in various high-tech markets, aiming to build 'The DNA of tech.'

Requirements

  • Associate's degree (Bachelor's preferred)
  • 2-4 years of professional business office experience

  • Must qualify as a “U.S. Person” as defined by 22 C.F.R. §120.15 (U.S. Citizen, lawful permanent resident, refugee, or asylee)

Responsibilities

  • Acquiring and compiling data
  • Preparing reports
  • Coordinating meetings for departmental staff
  • Reserving conference rooms or A/V equipment
  • Making travel arrangements
  • Ordering supplies
  • Filing and records maintenance
  • Handling incoming and outgoing mail
  • Developing, publishing, and maintaining key measurement charts and data
  • Providing analytical and specialized administrative support
  • Preparing monthly reports
  • Providing administrative support in the main lobby
  • Welcoming visitors and guests and directing them to the right contact
  • Answering and transferring phone calls to the correct department, and taking messages
  • Filing, organizing, coordinating, and assisting in meetings
  • Preparing and developing timelines, charts, and graphs as necessary to evaluate business conditions
  • Setting up domestic & international travel accommodations and completing expense reports
  • Setting up/Arranging departmental lunch/dinner
  • Coordinating processing of Purchase Requisitions and Orders
  • Receiving incoming mail/packages, sorting and delivering to recipient
  • Preparing shipment for outgoing mail/packages
  • Supporting administration of QMS process
  • Supporting Division QMS Head on Business process workflow
  • Maintaining record files/documentations
  • Maintaining QA Log and Index
  • Organizing, coordinating, assisting in meetings
  • Supporting Business Process Automation project
  • Supporting in revision process of QMS documents
  • Supporting preparation of San Jose’s Yearly DNV - 3rd Party Audit
  • Monitoring timely closure of SJ Internal Audit Non-conformances
  • Supporting Division Audit Management Improvement Project
  • Maintaining KPI/Charts
  • Monitoring Business Process Improvement, CAR issues, Customer N/C’s
  • Helping with monthly Audit Steering committee meeting
  • Performing other receptionist special tasks and projects as assigned
