About The Position

The Receptionist/Administrative Assistant serves as the first point of contact for the firm, providing a professional and welcoming experience for clients, visitors, callers and staff. This role supports daily office operations by managing front-desk activities while also coordinating inbound and outbound shipments related to engineering projects, office supplies, and technical documents. The ideal candidate is organized, courteous, detail-oriented, and comfortable balancing administrative and logistical responsibilities in a professional engineering environment while maintaining a customer-service mindset and a professional demeanor.

Requirements

  • High school diploma or equivalent required
  • 2+ years of experience in a receptionist or administrative support role
  • Proficiency in Microsoft Office (Outlook, Word, Excel)
  • Strong verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple tasks and prioritize effectively
  • Ability to lift and move packages up to approximately 30–40 lbs
  • Ability to sit, stand, and walk throughout the workday
  • Comfortable working in an office environment.

Responsibilities

  • Greet visitors, clients, and vendors in a professional and friendly manner
  • Answer and route incoming phone calls; respond to general inquiries
  • Receive, sort, and distribute mail and deliveries
  • Maintain a clean, organized, and professional reception area
  • Coordinate visitor access, meeting room reservations, and office calendars
  • Provide general administrative support to office staff as needed
  • Receive, log, and distribute incoming shipments, including plans, project materials, equipment, and supplies
  • Prepare outgoing shipments using courier services (FedEx, UPS, USPS, freight, etc.)
  • Package documents and materials securely
  • Track shipments and resolve delivery issues with carriers
  • Maintain shipping records, tracking numbers, and delivery confirmations
  • Coordinate with project teams and internal departments to ensure timely and accurate delivery of materials
  • Assist with document scanning, copying, filing, and data entry
  • Support project documentation and processes as directed
  • Follow company policies for record retention, confidentiality, and safety
