About The Position

The Central Office Administrative Assistant is responsible for the support of the day-to-day administrative, operational, and secretarial tasks related to the responsibilities of their Direct Supervisor. Information pertaining to the confidential business of the Regional Centre will require a high degree of confidentiality. Administrative assistants work 7 hours per day - This position is for Thursday's and Friday's - 8:30am to 4:30pm.

Requirements

  • Office Administration Diploma or equivalent
  • Two (2) years of experience in a public office (preferably in education)
  • Accurate word processing, bookkeeping and spreadsheet skills, attention to detail is key
  • Ability to work under pressure with deadlines
  • Strong interpersonal and time management skills
  • Computer knowledge with proficiency in MS Word, Excel, Access, PowerPoint and Outlook
  • Proven ability to communicate and work alongside diverse cultural and racial backgrounds
  • Completion of WHMIS and First Aid, or willingness to obtain upon hire

Responsibilities

  • Prepare correspondence, Word processing support, compose routine correspondence, prepare reports and forms as required, drafting correspondence for signature and distribution
  • Maintain calendars, daily schedules, and arrange meetings and reservations as required
  • Maintain a filing system for administrative files and records
  • Take incoming calls from parents, employees and the public and direct them to the appropriate staff
  • Establish and maintain a filing system for administrative files and records
  • Responding to public inquiries and routine requests for information
  • Assists in the preparation of confidential reports and information as directed
  • Prepare services for meetings; logistical organization as well as prepare and distribute agenda packages
  • Take minutes in meetings as required
  • Other administrative duties as required
