Under the supervision of the Special Operations Unit Manger, the Administrative Assistant 2 is responsible for a variety of administrative support functions to assist the Special Operations Unit Manager. You will work one-on-one with the Special Operations Unit Manager interact with OFI Leadership and a team of professionals from other business units within the agency. This role requires a high level of customer service and exemplary organization skills; demonstrating trustworthiness and responsible behavior; as you perform a variety of administrative duties. DFCS is seeking candidates for the position of Administrative Assistant 2. This position reports to the Special Operations Unit Manager and is Statewide.

Requirements

  • Associate’s degree from an accredited college or university AND One year of related experience OR Three (3) years of related experience
  • High school diploma/GED and three (3) years of job-related experience; or one (1) year of experience required at the lower level Admin Assistant 1 (GST050) or position equivalent.

Nice To Haves

  • Three (3) or more years of administrative support experience
  • Demonstrated experience in office administration
  • Demonstrated experience providing administrative support to management staff
  • Advanced proficiency in using Microsoft Word, Excel, Outlook and PowerPoint software

Responsibilities

  • Provides high level administrative support to the District Manager including calendar management, travel arrangements, drafting correspondence and arranging meetings
  • Maintains confidential information
  • Maintains efficient documentation and filing system
  • Completes forms in accordance with organizational procedures and routes to appropriate parties
  • Composes, types, and distributes meeting notes, routine correspondence, and reports
  • Plans/schedules meetings and follow up with required action items.
  • Provides assistance and problem resolution to internal and external customers.
  • Ability to communicate effectively both orally and in writing and be able to establish and maintain effective working relationships
  • Performs job responsibilities with minimal supervision.
  • Performs other professional responsibilities as assigned.
