About The Position

The Administrative Assistant III provides advanced administrative support to the Curriculum and Instruction department. This role involves precise data entry, recognizing patterns across multiple program datasets, financial tracking, and coordinating events and internal workflows to enhance departmental efficiency and service to districts. The position requires a high school diploma or GED, the ability to complete Google Basics training within six months, and proficiency in the Monday.com project management system. Understanding the tracking and spending of federal, state, and local funds is also a key requirement within the first six months of employment.

Requirements

  • High School diploma or GED required
  • Ability to complete all Google Basics On-Demand trainings within the first six month of employment
  • Ability to learn and work within Monday.com project management system
  • Ability to understand tracking and spending of federal, state, and local funds within the first six months of employment
  • 3 years or more experience preferred
  • Required proficiency in Microsoft Office Suite, Google Workspace, spelling, punctuation, and grammar
  • Skilled in general office procedures, including answering telephones, filing, data entry, and maintaining an organized workspace
  • Must be service-oriented, a team player, self-motivated, and responsible to complete all assignments
  • Exhibits tact and relates well to people
  • Ability to handle multiple tasks under pressure with ease
  • Projects a positive, professional, organizational image through in-person and phone interaction with customers

Responsibilities

  • Assist Coordinators and Director to enhance productivity and improve operational effectiveness.
  • Oversees and manages budgets from federal, state, and local sources, ensuring compliance and proper allocation.
  • Create and maintain databases/spreadsheets for various programs, including High-Quality Instructional Materials, LIFT, Reading & Math Academies, etc (including data entry).
  • Track and enter travel reimbursements monthly, and manage rental car reservations along with all associated paperwork and receipts.
  • Organize and prepare materials for workshops, conferences, in-service meetings, and division reports.
  • Register participants for workshops, create on-site sessions in ESCWorks, reserve workshop rooms, and assist with coordinating summer conferences.
  • Handle general administrative tasks, including correspondence, telephone management, filing, and proofreading.
  • Maintain professional relationships with clients and vendors, and assist other SASS administrative assistants.
  • Travels as part of job responsibilities.
  • Follows established ESC telephone protocol.
  • Reports for work ready to perform responsibilities.
  • Performs duties that directly and/or indirectly impact student performance in Region 16.
  • Maintains a professional level of confidentiality regarding all ESC matters.
  • Supports the mission, goals, and objectives of the ESC strategic plan.
  • Upholds and adheres to safety rules and policies of the ESC safety program.
  • Performs professional responsibilities as required by ESC policies, processes, and procedures.
  • Manages time, calendar, and job responsibilities to meet deadlines.
  • Meets proficiency levels of required technology skills as outlined by supervisor.
  • Incorporates appropriate technology in daily work and exhibits continual growth in technologies as outlined by supervisor.
  • Performs other duties as assigned.
