About The Position

The Administrative Assistant III provides complex administrative support to mid-level executive leaders. This position requires the ability to exercise independent judgment, maintain a high level of confidentiality, and make decisions on behalf of the leadership using experience and precedence. This position may provide guidance to new and developing team members. The ideal candidate will be proactive, highly organized, and capable of managing competing priorities in a fast-paced, dynamic environment.

Requirements

  • Associate’s degree in Business Administration, Human Resources, Administrative support or a similar field preferred, or High School Diploma or General Education Degree (GED) with relevant experience.
  • 4+ years of demonstrated experience working in an administrative support capacity, demonstrating progressively increasing responsibilities; executive support preferred.
  • Demonstrated experience with business travel & expense platforms & receipt reconciliation.
  • Demonstrated proficiency in the Microsoft365 suite (i.e. Outlook calendars for individuals & groups, Word, Teams, etc.) and demonstrated ability to create presentations, draft communications, perform analyses (including application of formulas and PivotTables).
  • Demonstrated understanding of how various leadership & functional groups in the company interrelate alongside a high EQ for influencing various stakeholders.
  • Confidence and professional poise as related to high-profile collaborators that leadership may be interacting with (ex. Internal & External Boards, Community officials, Philanthropic Orgs, etc.)
  • Demonstrated ability to perform the essential duties of the position with or without accommodation.
  • Authorization to work in the United States without sponsorship.

Responsibilities

  • Navigate routine and non-routine day-to-day activities of mid-level executives to ensure seamless execution.
  • Assume central coordination for all requests, applying appropriate urgency to high volume competing requests and proactively managing cadence for standing meetings (one-on-ones, team meetings, etc.).
  • Provide extensive calendar support by relentlessly prioritizing leader’s time to ensure focus is on highest priority initiative.
  • Independently manage and prioritize complex calendars, travel arrangements, expenses, and meeting logistics.
  • Proactively assist in problem-solving for the leader - research inquiries, become knowledgeable about areas the leader leads and key business drivers.
  • Create and recommend solutions.
  • Serve as a trusted partner and primary point of contact for internal and external stakeholders on matters pertaining to the leaders’ schedule and activities.
  • Review and triage incoming correspondence, emails, and requests; respond on behalf of leader(s) where appropriate using discretion and judgment.
  • Prepare high-quality documents, reports, presentations, and communications in support of leaders’ meetings and initiatives.
  • Facilitate seamless communication and coordination between the leader(s) and other departments.
  • Manage sensitive and confidential information with a high level of integrity and discretion.
  • Perform other duties as assigned in support of executive operations.
