About The Position

The Administrative Assistant executes a wide range of administrative duties to support the Program office. This position is responsible for facilitating daily office operations and functions under the direction and supervision of Program office personnel. Requirements

  • Must possess a high school diploma, associate’s degree preferred, together with seven years (7) of relevant administrative experience.
  • Must possess a basic knowledge of and experience with office and administrative functions, practices and procedures.
  • Secret Clearance is required.
  • Due to the nature of work at the client’s site, U.S. Citizenship is required.
  • Must be able to pass a background check. May require additional background checks as required by projects and/or clients at any time during employment.
  • Must be highly organized with attention to detail.
  • Must possess excellent command of the English language.
  • Must have excellent oral and written communication skills to interface with personnel at all levels.
  • Must have a basic knowledge of and experience with word processing, databases and spreadsheets and be able to operate office equipment (PCs, faxes, phones, copying machines, etc.).
  • Applicants must demonstrate thorough knowledge of Microsoft applications (MS Word, PowerPoint).
  • Excel experience is a must.
  • Ability to handle multiple tasks simultaneously.
  • Ability to communicate effectively orally and in writing.
  • Must be self-motivated and able to work well independently as well as on a multi-functional team.
  • Ability to handle sensitive and confidential information appropriately

Responsibilities

  • Prepares and revises charts, spreadsheets, memoranda, and other general office documents as required to support program objectives.
  • Administers and maintains office databases to ensure data integrity and accessibility.
  • Enters financial information, survey responses, critiques, and test results; generates performance measurement and administrative reports as needed.
  • Provides support for data analysis activities to assist in the identification and resolution of issues impacting program operations.
  • Attends office meetings, documents proceedings, and disseminates meeting minutes to all relevant stakeholders.
  • Drafts and edits standard operating procedures to ensure clarity and consistency in process documentation.
  • Facilitates all aspects of travel arrangements for Program office staff, including coordination of logistics, transportation, and preparation of government travel orders.
  • Prepares routine communications, including cables, utilizing the Government's official cabling system (CableXpress).
  • Compiles weekly activity summaries and other periodic reports for the Program office.
  • Establishes and maintains centralized electronic and paper files for key areas such as budget management, equipment purchases requisitions, end-of-course reports, student critiques, travel records, and general correspondence.
  • Provides direct project assistance and other administrative support as necessary to ensure efficient office operations.
  • Executes special tasks and assignments as directed by supervisory staff.
  • Other duties as assigned.
