About The Position

Under general supervision, this position is responsible for handling a wide range of support related tasks, requiring interaction with both internal and external stakeholders, which support the achievement of organizational effectiveness for day-to-day operations and organizational processes for the Special Services Department. The role organizes and manages the department’s routine functions to meet the objectives of the department and district while serving as administrative assistant to the directors of special services. This role also provides work direction for support staff.

Requirements

  • High School Diploma or GED
  • Three years directly related administrative experience
  • Demonstrated proficiency in computer skills with software applications, Microsoft Windows, Microsoft Office Professional, Oracle, Google Drive, and other database systems
  • Ability to successfully complete assignments with limited supervision demonstrates task oriented self-starter with the ability to perform with a high degree of accuracy
  • Demonstrated strong skills in record keeping and highly detailed oriented, excellent organizational, communication, customer service, interpersonal skills, possesses the ability to coordinate multiple projects and assignments; high degree of flexibility required
  • Knowledgeable of District organization, operations, and administrative policies ability to meet established deadlines and remain focused in an environment of frequent distractions
  • Demonstrated ability to communicate and interact effectively with a wide variety of district personnel and the public, plan and problem-solving/investigative skills as required to research inquiries

Responsibilities

  • Organizes and manages the department’s routine functions to meet the objectives of the department and district while serving as administrative assistant to the directors of special services
  • Provides work direction for support staff
  • Performs administrative duties including maintaining a filing system, processing routine correspondence, typing documents and correspondence, and signing routine correspondences as needed
  • Receives telephone calls, personally handles matters of a diverse and confidential nature including answering substantive questions
  • Maintains confidentiality of information contained in source documents
  • Maintains daily attendance and payroll as needed
  • Prepares/processes documents including the following: service agreements, contracts, travel forms, payroll corrections, and maintenance/IT tickets
  • Enters and processes requisitions as needed
  • Performs all other tasks and duties as assigned
  • Engage in on site collaboration/interaction with department leadership, team members, customers, and stakeholders, ensuring effective communication and coordination across all organizational levels
