About The Position

The Administrative Assistant provides high-level administrative and clerical support to the Director of Administration and Facility Services. This position is responsible for coordinating office operations, managing communications, maintaining records, and supporting departmental projects to ensure efficient and effective administrative support and daily business operations.

Requirements

  • High school diploma or equivalent required
  • At least 1 year of administrative or clerical experience.
  • Demonstrate strong organizational and time management skills with attention to detail

Responsibilities

  • Acts as record custodian for the Division of Administration and Facility Operations. Responsible for controlling the purging and preparation of records for storage.
  • Provides administrative support to include tracking assignments, preparing correspondence, scheduling meetings, training, and various other office activities. Make travel arrangements and processes travel reimbursements for all team members that are in the Division of Administration and Facility Operations office as needed.
  • Responsible for purchasing duties for assigned units. Tracks and reconcile expenditures.
  • Ensure compliance with administrative procedures and organizational standards.
  • Serves as HR liaison, prepares advertisements and request to hires. Assist with other HR processes for Division as needed.
  • Handle confidential and sensitive information with discretion.
  • Performs other duties as assigned.
