The College of Western Idaho (CWI) is seeking a part‑time Administrative Assistant II to provide administrative, operational, and customer service support while managing confidential information, coordinating projects, and supporting key academic initiatives. In this role, you'll serve as a vital resource for students, faculty, staff, and community stakeholders while helping ensure the efficient operation of the department through exceptional organization, communication, and administrative support. At CWI, administrative professionals play an important role in supporting student success, employee collaboration, and institutional effectiveness. As an Administrative Assistant II, you'll contribute to meaningful projects, support innovative academic initiatives, and work alongside dedicated faculty and staff committed to helping students achieve their goals.

Requirements

  • Three (3) years of administrative support experience
  • Excellent customer service and interpersonal skills
  • Experience using Microsoft Office applications and educational technology tools
  • Experience using a Learning Management System (LMS)
  • Strong verbal and written communication skills
  • Ability to maintain confidentiality and exercise sound judgment
  • Strong organizational skills with the ability to balance multiple priorities
  • Ability to remain calm and professional in a high‑traffic, fast‑paced environment
  • Excellent computer skills and attention to detail
  • Dependable, flexible, and adaptable to changing needs

Responsibilities

  • Coordinate administrative office functions, projects, and daily operations
  • Maintain records, files, correspondence, and other confidential documentation
  • Order, track, and manage office materials and supplies as needed
  • Operate office equipment and support efficient office workflows
  • Manage incoming mail distribution and related administrative processes
  • Serve as a point of contact for executives, government agencies, campus organizations, students, and the general public
  • Provide accurate and timely information by phone, email, and in person
  • Schedule appointments, greet visitors, and assist walk‑in customers
  • Deliver exceptional customer service in a busy office environment with competing priorities
  • Handle sensitive, confidential, and occasionally politically sensitive matters with professionalism and discretion
  • Support the delivery of CWI's Open Educational Resources (OER) and z‑degree initiatives, including course marking activities
  • Support departmental use of the Learning Management System (LMS) for communication, information sharing, and record management
  • Research questions, gather information, and apply institutional policies and procedures appropriately
  • Assist with special projects and departmental initiatives as assigned
  • Compose, edit, and prepare correspondence, reports, research materials, and other professional documents
  • Ensure accuracy, professionalism, and confidentiality in written communications
  • Maintain effective communication with faculty, staff, students, and external stakeholders
  • May assist with coordinating and monitoring Work Study students
  • Support committees, meetings, and departmental activities
  • Contribute to a collaborative and positive workplace culture
  • Convey by words and actions the values expected by CWI
  • Perform other duties as assigned
