Requirements

  • Professionalism with demonstrated administrative support experience.
  • Strong service orientation, communication, interpersonal and persuasive skills for effective interaction with various levels of people internally and externally.
  • Ability to take initiative, with a strong sense of urgency, assertiveness and willingness to accept a wide range of responsibilities.
  • Demonstrated ability to exercise discretion, sound judgment and problem solving while working independently with critical, confidential and time sensitive information.
  • Strong planning and organizational skills, attention to detail and the ability to prioritize responsibilities and work independently.
  • Ability to independently plan work/tasks to keep senior management and projects on schedule, despite numerous conflicting priorities and changes.
  • Excellent written and verbal communication skills to compose correspondence and other documentation.

Responsibilities

  • Performs moderately complex administrative duties, often requiring a higher level of confidentiality and considerable skill and knowledge of organization policies and procedures.
  • Coordinates leader's daily tasks and calendar.
  • Gathers information for scheduling from a variety of sources and exercises judgement when approaching conflicting meetings.
  • Suggests appropriate meeting times relative to other meetings and critical attendees.
  • May act independently in determining priority/resolving conflicts.
  • Resolves routine and sometimes complex inquiries.
  • Exercises moderate level of autonomy and confidentiality in troubleshooting issues as they arise.
  • Prepares meeting materials by editing and organizing agenda, special reports, presentations, and meeting minutes with general direction from leader(s).
  • Subject matter expert on processes and procedures.
  • Will coordinate events and functional projects in support of broader function needs.
  • May conduct research for senior leader(s) or senior individual contributor(s); compiles and summarizes information and provides recommendations.
  • Acts as liaison for technology and finance.
  • Identifies opportunities for the use of enhanced technology, coordinates the department budget process, etc.
