About The Position

This role utilizes excellent interpersonal skills to handle challenging situations while maintaining supportive relationships. The Administrative Assistant handles requests courteously and respectfully, being readily available for questions. They communicate effectively, both in writing and verbally, and demonstrate a proactive attitude, correcting errors and taking responsibility for the department's quality image. This position assists in improving and streamlining departmental processes and workflow, sets appropriate priorities to manage tasks efficiently, and recognizes the impact of absence on the healthcare team, striving to minimize it. They adjust their personal schedule when necessary to complete workload. The Administrative Assistant acts as a personal secretary, managing correspondence, appointments, and other duties for the Department Leader(s), and conserves the time of department members and leaders by anticipating needs and researching questions. They update, prepare, and print all annual performance evaluations and distribute documents to associates, and track all forms to ensure timely return. This role also assists with payroll maintenance, maintains an organized workflow system, prioritizes workload to meet deadlines, and maintains an organized filing system. They provide documents that are attractively formatted and error-free, seek improvement in time management and support services, and meet deadlines for routine and special projects. The Administrative Assistant maintains confidentiality of leader's files, personnel records, quality and risk management records, and medical records. They manage and process department mail, and maintain and order supplies for the department. This role provides clerical support including typing, filing, coordinating meetings, room set-up, catering, agendas, minutes, data tabulation, and assistance in preparing presentations. Performs other duties as assigned.
