About The Position

The Administrative Assistant - Care Management Dept position supports Leadership in the Care Management department. This role is responsible for performing various complex technical and clerical functions to keep day-to-day business operations on track. The ideal candidate will possess strong organizational skills developed through previous administrative assistant work. This position is available in levels 1 or 2, depending on experience and education.

Requirements

  • Level 1: Associates Degree required.
  • Level 1: 0-3 years of Administrative Assistant experience required.
  • Level 2: Bachelor’s degree required.
  • Level 2: 3-5 years of Administrative Assistant experience required.
  • Basic knowledge of office procedures and equipment.
  • Basic knowledge of the principles of accounting with basic arithmetic skills of multiplication, division, and percentages.
  • Good basic written communication skills to include spelling, grammar, and punctuation.
  • Good interpersonal skills for interaction with employees, clients, and customers.
  • Basic computer skills with some spreadsheet knowledge.
  • Ability to maintain and handle confidential information appropriately.
  • Typing/keyboarding skills sufficient to meet the requirements of the position.

Responsibilities

  • Performs various complex technical and clerical functions in support of departmental staff.
  • Prepares and maintains a variety of records, files, and documents, including information of a confidential nature.
  • Gathers information and develops summaries.
  • Assists with documenting the development of the department budget and operational plans.
  • Recommends changes to office procedures to improve the process and provide better support.
  • Reviews and proofs documents, records, and forms for accuracy and completeness.
  • Arranges and schedules a variety of meetings and conferences.
  • Performs receptionist duties such as greeting visitors, determining their needs and routing customers to the proper area or person; arranging appointments and assisting with phone calls.
  • Directs services such as maintenance, repair, supplies, mail, and files.
  • Assists in training employees on office equipment and procedures.
  • Maintains confidentiality of information.
  • Specific duties may vary based on assignment.
  • Assists other staff as necessary.
  • Performs other duties as assigned.
