About The Position

The Salvation Army is seeking an Administrative Assistant/Accounting to perform general office duties, handle donations, maintain confidential files, manage databases, and assist with various administrative tasks. This role also involves communication with internal and external stakeholders, coding invoices, and receiving donations. The position requires adherence to The Salvation Army's mission, vision, and values, and may involve some evening hours, additional hours during peak seasons, and occasional travel. The role is part-time, with a weekly schedule of 25 hours.

Requirements

  • Completed two (2) years of Community College, i.e. graduate of a post-secondary program in business, finance or business administration. Alternative combinations of education and experience may be considered.
  • Minimum of three (3) years of prior related experience in non-profit, fund and branch accounting, bookkeeping, administrative/secretarial and accounting software experience.
  • Strong administrative skills and proficiency with computers and databases, (particularly Excel, Word and Internet, familiar with Office 365).
  • Must comply with all Salvation Army policies and procedures and associated legislation.
  • Ability to maintain information in confidence and exercise good judgment.
  • Participate in ongoing professional development and training.
  • Participate in regular supervision and performance appraisal process.
  • Represent the organization in a positive, professional and engaging manner.
  • Exhibit good listening skills, have good oral/written communication skills and respect authority.

  • Valid Manitoba Class “5” Driver’s License required for use of Salvation Army program vehicle; an original copy of a current Driver’s Abstract that is satisfactory to The Salvation Army, in its sole discretion, is required.
  • Provide an original copy of a Background Check that is satisfactory to The Salvation Army, in its sole discretion, is required.
  • Develop an understanding of the Mission of The Salvation Army in Canada and its implications as related to position responsibilities.

  • Knowledge of Salvation Army systems (Business World and SAMIS) would be a definite asset.

Responsibilities

  • Performs general office duties such as answering and screening telephone calls.
  • Files documents electronically or manually.
  • Photocopies and distributes materials and sends and receives fax/email material as requested.
  • Handles routine inquiries.
  • Provides caring and listening to people in need, and offers prayer as appropriate.
  • Drafts and types correspondences or generates reports.
  • Maintains an accurate, ongoing record of all donations to the Church, and sends acknowledgments.
  • Handles and ensures the protection of extremely confidential and sensitive Employee/Officers, Client and/or program files.
  • Maintains databases (e.g., employee/volunteer information, contact lists, inventory, hours worked).
  • Assists with preparation/placement of advertisements and invitations.
  • Assists with managing Church Social Media pages.
  • Assists with all paperwork for various projects and processes (e.g., community service orders, ministry unit annual reviews).
  • Places all stationary supplies and maintains adequate office supplies and other supplies as needed.
  • Arranges for maintenance of office equipment.
  • Participates in Christmas fundraising, including Kettle campaign, counting Kettle funds, and other related tasks.
  • Involvement and assistance with Corps/community special events throughout the year.
  • Liaises with community, department managers, Corps Officers, Divisional Headquarters and Territorial Headquarters as required.
  • Performs other position-related duties as required.
  • Codes approved invoices and forwards to accounting for processing.
  • Receives non-monetary and monetary donations.
