Responsibilities

  • Processing vendor invoices, employee reimbursements, and accounts payable transactions
  • Managing invoice approval workflows and communicating with project managers and department leaders
  • Preparing check runs, ACH payments, and vendor payments
  • Reconciling vendor statements and researching discrepancies
  • Maintaining vendor records, including W-9s, credit applications, and 1099 information
  • Assisting with corporate credit card administration, expense reporting, and account reconciliations
  • Supporting subcontract, work order, and purchase contract invoice processing
  • Assisting Estimating with bid packages, bid submissions, bid bond requests, and required documentation
  • Maintaining project records, bid history, and reference materials
  • Providing backup reception coverage and general office support
  • Assisting with special projects and administrative support across departments
