About The Position

This role requires an individual to use independent judgment to plan, prioritize, and organize a diverse workload in a fast-paced, detail-oriented environment. The position involves managing administrative tasks, correspondence, and personnel processes within Army protocol, interfacing with various stakeholders, and utilizing specific software solutions for document management and travel coordination. The Administrative Assistant Analyst will serve as a Subject Matter Expert (SME) for administrative procedures, Army regulations, and MS Office Suite applications.

Requirements

  • Proficiency in using independent judgment to plan, prioritize, and organize workload.
  • Knowledge of proper Army protocol for screening calls, requests, meetings, and visitors.
  • Experience in authoring and staffing administrative standard operating procedures, policies, and templates.
  • Experience managing office supplies and official mail.
  • Experience maintaining organizational and personnel charts.
  • Expertise in AR 25-50, Preparing and Managing Correspondence.
  • Ability to interface with diverse internal and external stakeholders at all levels within the Army.
  • Experience coordinating and collaborating for meeting scheduling.
  • Experience managing and coordinating conference rooms and other locations.
  • Experience managing dynamic calendars for leadership, including numerous events, meetings (unclassified and classified), teleconferences, and video teleconferences.
  • Experience coordinating and staffing documents for leadership approval.
  • Proficiency in using Enterprise Task Management Software Solution (ETMS2), SharePoint Workflow, and other staffing tools.
  • Ability to collect, analyze data from multiple sources, and provide recommendations.
  • Ability to consolidate information into a single product while maintaining integrity.
  • Experience independently developing, coordinating, reviewing, and tracking documentation/briefings.
  • Experience monitoring and maintaining tasker documents through the staffing process.
  • Experience managing in-processing/out-processing of personnel, including welcome packages, sponsorship, and HRSD processing.
  • Subject Matter Expert (SME) for MS Office Suite Applications for administrative tasks.
  • Experience analyzing, researching, developing, and coordinating documentation, briefings, spreadsheets, and reports.
  • Experience arranging and performing as a Reviewing Official for civilian personnel TDY travel using the DoD Defense Travel System (DTS).
  • Experience with travel itineraries, hotel, transportation, TDY agendas, and briefing packets.
  • Experience ensuring timely submission of travel vouchers.
  • Ability to analyze error logs and provide recommended solutions for travel projections and expenditure reports.
  • Experience reviewing, analyzing, and recommending corrective actions in the administration of the Automated Time Attendance and Production System (ATAAPS).
  • Experience managing and submitting daily accountability and personnel reports.

Responsibilities

  • Plan, prioritize, and organize a diversified workload using independent judgment.
  • Screen calls, requests for information, meetings, and visitors for the PdM and DPdM A3S following Army protocol.
  • Author and staff A3S Administrative Standard Operating Procedures, Policies, and Templates.
  • Manage office supplies and official mail.
  • Maintain organizational and personnel charts.
  • Serve as the A3S SME for AR 25-50, Preparing and Managing Correspondence.
  • Interface with internal and external stakeholders at all levels within the Army.
  • Coordinate and collaborate with internal and external organizations for meeting scheduling.
  • Manage and coordinate conference rooms, breakout rooms, and other necessary locations.
  • Manage the dynamic calendars of the PdM, DPdM A3S, and Product Office, including numerous calendar events, unclassified and classified meetings, teleconferences, and video teleconferences.
  • Coordinate and staff all documents requiring O-5, O-6, and PEO leadership approval.
  • Submit and track document packets using Enterprise Task Management Software Solution (ETMS2), SharePoint Workflow, and other staffing tools.
  • Collect and analyze data from multiple sources, provide recommendations for improvement and accuracy, and consolidate information into a single product while maintaining product integrity.
  • Independently develop, coordinate, review, and track incoming/outgoing documentation/briefings.
  • Monitor and maintain tasker documents through the staffing process internally and with higher headquarters.
  • Manage the in-processing/out-processing of personnel assigned to A3S, including welcome packages, sponsorship, and processing within the Human Resource Service Desk (HRSD).
  • Serve as the A3S SME for MS Office Suite Applications for administrative tasks.
  • Analyze, research, develop, and coordinate documentation, briefings, spreadsheets, and reports.
  • Arrange and perform as a Reviewing Official for civilian personnel TDY travel using the DoD Defense Travel System (DTS), including travel itineraries, hotel, transportation, TDY agendas, and briefing packets, ensuring timely voucher submission.
  • Analyze error logs and provide recommended solutions for travel projections and expenditure reports.
  • Review, analyze, and recommend corrective actions in the administration of the Automated Time Attendance and Production System (ATAAPS).
  • Manage and submit A3S daily accountability and personnel reports.
  • Perform other administrative duties as assigned.
