About The Position

This position provides essential fiscal and administrative support to the department chair within the College of Tropical Agriculture and Human Resilience (CTAHR), Family and Consumer Sciences (FCS) department. The role involves managing fiscal processing information, communicating deadlines, and acting as a liaison between the department and various financial offices including CTAHR Fiscal Office, University of Hawai'i Foundation (UHF), and Research Corporation of the University of Hawai'i (RCUH). Additionally, the specialist will support grant proposal preparation and modifications, maintain budget account information, monitor fiscal reports, and assist in financial planning for contracts, grants, and operating accounts. The role also includes collecting statistical data for administrative reports, assigning tasks to technical personnel and student help, and resolving fiscal and administrative issues.

Requirements

  • Possession of a baccalaureate degree in business, accounting, education, arts, social science, arts and humanities, science or related field and 0 year(s) of progressively responsible professional experience with responsibilities for business and/or office administration; or any equivalent combination of education and/or professional work experience.
  • Functional knowledge of principles, practices and techniques in the area of business and/or office administration.
  • Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with business and/or office administration.
  • Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of departmental administration.
  • Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
  • Demonstrated ability to operate a personal computer and apply word processing software.
  • Ability to assist project teams with organizing cost information for budget proposals.
  • Demonstrated organizational skills with the ability to process basic fiscal transactions, track administrative documentation and support day-to-day office administration.

Responsibilities

  • Provides support to department chair on fiscal and administrative issues.
  • Collects, coordinates, and communicates fiscal processing information and critical deadlines from administration to chair and faculty.
  • Serves as fiscal communication link for CTAHR, CTAHR Fiscal Office, UHF, and RCUH.
  • Provides administrative support in the review and preparation of grant proposals and modifications.
  • Maintains budget account information in accordance with established requirements.
  • Monitors, provides feedback, and prepares fiscal reports to assist chair, department staff, and faculty in fiscal and administrative management.
  • Assists with preparing short- and long-term financial plans relating to contracts and grants and department operating accounts.
  • Assists department chair and CTAHR Fiscal Office by seeking information and solutions to resolve fiscal and administrative problems.
  • Collects statistical data to prepare various administrative reports relating to program/project operations and administration.
  • Provides work assignments to technical personnel and student help.
  • Performs other duties as assigned.
