The Administrative Assistant will provide high-level support to the Eagle Ford and Bakken operations managers and their Houston-based teams, working independently and proactively on complex administrative tasks with discretion and independent judgment.

Requirements

  • Legally authorized to work in the United States
  • 5 or more years of experience in administrative support positions reporting to senior management
  • Advanced proficiency with Microsoft O365 applications: Excel, Outlook, PowerPoint, SharePoint, Teams and Word
  • Advanced level of proficiency with SAP

Responsibilities

  • Managing the managers' calendars to ensure effective and efficient time utilization, including planning work projects and scheduling appointments with internal and external personnel.
  • Understanding manager's plans and objectives, interpreting activities, and proactively anticipating opportunities to assist in meeting objectives across multiple time zones.
  • Coordinating office and administrative support duties such as filtering email, answering telephones, directing calls, making arrangements for visitors, processing expense reports and invoices, and managing records.
  • Ensuring managers are prepared for meetings with appropriate materials.
  • Preparing, coordinating, and handling travel plans for managers, including understanding trip purposes, adhering to corporate travel policy, managing passport/visa requirements, and maintaining contact during travel.
  • Drafting correspondence and preparing special reports as requested, including extracting and sorting data in Excel, creating presentations in PowerPoint, and editing documents in Word and Adobe.
  • Maintaining information on key contacts, upcoming activities, and projects.
  • Maintaining SharePoint/Microsoft Teams information and Outlook distribution lists.
  • Planning business lunches, dinners, and events within budget guidelines with minimal guidance.
  • Coordinating with other Administrative Assistants for planning and implementing Region activities.
  • Providing input and feedback to managers when needed.
