About The Position

Overhead Solutions Group is seeking a highly organized and dynamic Administrative and Operations Specialist to join our team. This role is pivotal in supporting various administrative, operational, and client-facing functions within the company. The ideal candidate will be proficient in Google Workspace and Excel, and capable of managing multiple tasks efficiently.

Requirements

  • Strong proficiency in Google Workspace, Excel, and DocuSign.
  • Excellent organizational, communication, and time-management skills.
  • Ability to multitask and prioritize in a dynamic, fast-paced environment.
  • Exceptional customer service skills with a professional demeanor.

Nice To Haves

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.

Responsibilities

  • Provide comprehensive support to executives, including managing calendars, scheduling meetings, and making travel arrangements.
  • Manage electronic signatures using DocuSign and handle clerical duties such as data entry, photocopying, and scanning.
  • Handle incoming calls and inquiries, manage emails, and ensure effective communication with internal and external stakeholders.
  • Run payroll, pay contractors, and assist in financial reporting.
  • Maintain and update social media platforms, and engage with followers.
  • Apply for contracts/bids, ensuring timely submissions and compliance with all requirements.
  • Research and identify events for networking opportunities, manage event registrations, and ensure logistical arrangements are made.
  • Post job openings as needed and manage the recruitment process.
  • Track and manage Continuing Professional Education (CPE) hours for CPA staff.
