About The Position

We are seeking a professional, organized, and customer-focused On-Site Administrative Assistant to support the Property Manager and the Board of Directors in the daily operations of an association. This position serves as the first point of contact for residents, vendors, and visitors while providing administrative support to ensure the efficient operation of the community office.

Responsibilities

  • Answer and direct incoming phone calls in a courteous and professional manner.
  • Greet and assist walk-in residents, homeowners, guests, and vendors.
  • Maintain accurate resident, homeowner, and community records, both electronic and paper files.
  • Prepare and distribute correspondence, notices, mailings, and other community communications.
  • Assist the Property Manager and Board of Directors with administrative projects and day-to-day office tasks.
  • Coordinate with vendors regarding scheduling, work orders, and service requests.
  • Monitor office supplies and assist with purchasing as needed.
  • Maintain confidentiality of resident and association information.
  • Provide exceptional customer service while responding to resident inquiries and directing concerns to the appropriate party.
  • Perform other administrative duties as assigned.
