About The Position

This position provides clerical support to our Account Receivable team for Tallgrass Water in our Lakewood, Colorado office and will report to the Accounts Receivable Manager (in Lakewood, CO). This role is a hybrid role with 3 days (Mon-Wed) in office at 2 days working from home. The annual salary range for this position will be $62,400-$93,600/yr.

Requirements

  • High-school diploma/GED or equivalent experience is required.
  • A minimum of two (2) years Administrative experience.
  • A minimum of one (1) year experience with entry-level accounts receivable is required.
  • Intermediate proficiency level in MS Office applications that may include but are not limited to Excel, Word, Access, PowerPoint and Outlook.
  • Must possess and maintain a valid driver’s license and a driving record satisfactory to the company and its insurers (for travel).
  • Excellent customer service skills and ability to work with all employees in corporate and field offices.
  • Excellent analytical skills, problem-solving skills and excellent interpersonal skills with both internal and external parties.
  • Proven written and verbal communication skills and the ability to work independently, multi-task and work under pressure.
  • Must be able to perform all essential and marginal functions of the job.
  • Must be able to work with a team, take direction from management, adhere to required work schedules, focus attention on details, and follow work rules.
  • Ability to successfully perform multiple tasks with strict deadlines.
  • Ability to organize and prioritize daily work.

Nice To Haves

  • A minimum of one (1) year oil & gas experience is preferred.

Responsibilities

  • Assist AR team in the monthly billing process for all Water Invoices.
  • Assist with invoicing backup and excel spreadsheets.
  • Verify trucking tickets for accuracy and make corrections in the ticketing system, scanning and ticket entry, when applicable.
  • Meet (scheduled) monthly invoicing deadlines.
  • Assist with internal and external audit requests.
  • Establish and maintain close working relationship with colleagues, transporters and customers and obtain additional information to help with ticket audit and invoicing.
  • Perform general office duties – answering the phone, greeting guests, emailing, handling/distributing mail, ordering office supplies, etc.
  • Provide general administrative support and maintain and update filing systems.
  • Assist in implementation of Accounts Receivable ticketing and invoicing software.
  • Adapt to constant changes in the work environment and be responsive to customer demands.
  • Protect Tallgrass's value by keeping information confidential.
  • Foster a positive open work environment, systems approaches and disciplined execution of all assigned tasks.
  • Required to play a role in building strong, motivated and service oriented teams.
  • Collaborate with other department personnel to determine root cause of process errors and assist with process improvement solutions.
  • Deal with a wide variety of people with tact, courtesy and professionalism.
  • Speak clearly, both in person and by telephone, using a high level of verbal skills and listen carefully.
  • Maintain a regular, dependable attendance and a consistently high level of performance.
